ADMINISTRATIVE/MARKETING LEGEND WANTED!
QMTBC's current Administrative Assistant is going away on sabbatical in 2025 and we need a new admin/marketing superstar to fill in for 7 months while she is away. We're looking for someone who's passionate about biking and has the ultimate GSD attitude to work alongside the committee to, well, GSD big time! General Requirements:
Applicants are required to have/achieve:
a working understanding/familiarity with the club’s constitution
an understanding of google drive and the club's filing system
an understanding of using Photoshop and Illustrator
an understanding of social media platforms and WIX website platform
an understanding of basic meeting administration
an ability to attend all club committee meetings (every third Tuesday of the month)
an ability to attend some club functions as required (e.g. AGM)
a commitment to a 7 month contract
Services provided by the QMTBC Administrative Assistant include, but are not limited to:
Attendance and management of monthly committee meetings. Preparation of agendas, minutes and action plans
Clear club’s post box and pass on any mail to club Treasurer
Marketing and event related correspondence, including monthly newsletters
Manage QMTBC social media presence across FB, Insta, QMTBC App etc
Manage the administration email account and respond to general inquiries
Manage the QMTBC App and membership queries
Prepare and manage funding applications as required
Website content management, including management of business partner deals and sponsors
Prepare QLDC/DoC submissions and new trail applications as required
Events – instigation, organisation, liaison with third parties
Maintain club calendar and update event details
Carry out specific projects as assigned by the QMTBC committee
Prepare the QMTBC AGM at the end of April 2025 and present at the event
Liaising with other community groups and local authorities as required
Attend meetings with committee members and other stakeholders as required
The duties described above may be altered at any stage at the mutual agreement of both the contractor and the club.
This is a diverse and varied role, there is a significant amount that goes on behind the scenes of a large volunteer run club. The QMTBC has over 2,200 members and we work really hard behind the scenes on trail development projects, liaising with various community groups and alongside many local individuals and businesses to achieve great things every year. The role of the admin assistant is ever changing and fluid, being proactive and reactive all at once. The right applicant will need to work as a contractor to QMTBC and this contract will run over a 7 month term, from the 1st February 2025 to the 30th of August 2025.
The role is a paid part-time role, for up to 20 hours per week and can be managed as necessary.
